Everything you need to connect Xero or QuickBooks Online, set up Stripe, and automate your revenue cycle — usually in under ten minutes.

Before you start — you'll need accounts you already own.

Win! is a revenue automation platform: it connects software you already use. To run the platform you'll need:

  • An active Xero organisation or a QuickBooks Online company (one or the other — or both)
  • A Stripe account that can accept payouts in your country
  • A Win! account (start your 30-day free trial)

We never replace your accounting software or your bank. Funds always settle in your own Stripe account and invoices stay in your own Xero / QBO ledger.

1. Connect Xero

You'll need

An active Xero organisation where you have the Standard or Adviser user role.

    Sign in to Win!

    From your dashboard, open Connections.
  2. 2

    Click “Connect Xero”

    You'll be redirected to Xero's consent screen.

    Authorise Win!

    Sign in to Xero (if you aren't already), pick the organisation you want to link, then click Allow access. Win! only requests read access to invoices, contacts and organisation details — we cannot modify your books.

    You'll land back on Connections

    The card will show Connected with your Xero organisation name. Click Sync now to pull your outstanding invoices and contacts.

2. Connect QuickBooks Online

You'll need

An active QuickBooks Online subscription (Simple Start, Essentials, Plus or Advanced).

    Open Connections

    From your dashboard, go to Connections.

    Click “Connect QuickBooks”

    Intuit's consent flow opens in the same window.

    Pick a company

    Sign in with your Intuit account, choose the QBO company you want to link, and click Connect.

    Review permissions and authorise

    Win! requests read access to customers, invoices and payments, plus permission to mark invoices as paid when a Stripe charge clears. Click Allow.

    Sync your invoices

    You'll return to Connections with a green Connected badge and your company name. Hit Sync now to pull your open invoices.

QBO tokens expire after 180 days of inactivity. We'll prompt you to reconnect when that happens — your invoices are never lost.

3. Connect Stripe

You'll need

A Stripe account (new or existing). If you don't have one yet, sign up free at stripe.com . You'll need basic business details and a bank account for payouts.

    Open Connections in Win!

    Find the Stripe card and click Connect Stripe.

    Sign in to Stripe (or create an account)

    You'll see Stripe Connect's onboarding flow. If you already have a Stripe account, just sign in — there's nothing extra to set up.

    Confirm business and payout details

    New accounts: complete the standard Stripe onboarding (business type, address, owner identity, bank account for payouts). Existing accounts: skip straight to authorising.

    Approve the connection

    When Stripe redirects you back, the Stripe card will show Connected with your Stripe account ID and the currencies you can charge in.

    Send your first payment link

    From any invoice in Win!, click Create payment link and share the hosted URL with your customer by email, SMS or chat.

Direct charges: payments go to your Stripe balance, not ours. Stripe's processing fees apply normally; Win! charges its own flat subscription separately.

    Enable autopay (optional)

    On the customer's invoice or in Automation, turn on Autopay enrollment. The customer saves a card or bank account once; future invoices charge themselves the day they're issued.

    Set up reminders & receipts

    From Automation you can schedule polite reminder emails before and after the due date, and customise the receipt your customers get when a payment clears.

    Send unpaid invoices to a client in one email

    Open any client from the Clients page and click Send Unpaid Invoices. Win! sends one email listing every outstanding invoice with a direct Pay link next to each one, plus a Pay Invoices button at the bottom. All links go straight to the autopay-enabled checkout — so the client can save a payment method at the same time.

    Brand your payment pages

    Go to Settings → Branding to upload your company logo and pick a primary color. Both appear on every hosted payment page, autopay enrollment email, automated reminder, and payment receipt your customers receive.

    Explore Client Intelligence

    Open Client Intelligence for payment behaviour analytics by client — average days to pay, response rate, autopay adoption, and total collected vs outstanding. Use the 30 / 90 / 365 Day filter to spot slow payers before they become a problem.

    Complete your Business Profile (required for card & ACH fees)

    If you want to pass the credit card processing fee or an ACH convenience fee to your customers, go to Settings → Business Profile. Select your business state and check the attestation box — takes about 30 seconds. Win! uses this to check whether your state allows surcharging. If it does, the fee toggles unlock automatically. If it doesn't, they stay locked — you cannot accidentally collect a fee where it isn't permitted.

    Invite teammates

    Share dashboard access with finance teammates so they can see outstanding balances and reconcile alongside you.

Compliance is automatic. Once you set your business state, Win! enforces state surcharge and ACH fee rules in real time — including blocking your checkout page until the Business Profile is complete. You never need to monitor state law yourself.

5. Field Tech App

What is the Field Tech App?

The Field Tech App is a mobile-optimised web app your technicians use on-site to create invoices, collect payment, and push everything directly into Xero or QuickBooks Online — without needing access to your main Win! dashboard. Technicians select a client, pick products from your accounting catalogue, confirm the total, and the invoice is live in your books within seconds.

Required: every product must have a Sales account and Tax rate assigned

When a technician creates a field invoice, Win! pushes it directly to Xero or QBO on their behalf. Your accounting platform requires each line item to specify an income account and a tax code — without them the invoice will be rejected silently and queued for retry.

You must configure this in your accounting software before using the Field Tech App. See the setup steps for your platform below.

Prerequisites

  • Xero or QuickBooks Online connected to Win! (sections 1 or 2 above)
  • Stripe connected to Win! (section 3 above)
  • Products set up in Xero or QBO with a Sales account and Tax rate on each one (see steps below)
  • Field Tech enabled in Win! Settings and at least one technician account created

Setting up products in Xero

  1. 1

    Open your Xero product catalogue

    In Xero, go to Business → Products and services. These are the items that appear in your technicians' product picker in the Field Tech App.

    Create or edit each product

    Click New item (or edit an existing one). Under the Sales tab, set:
    • Sales account — the revenue account this product posts to (e.g. "3210 Revenue – Service – Non-Recurring"). Every product must have one.
    • Tax rate — the tax code that applies to this product (e.g. "Tax on Sales 8.25%"). Every product must have one. If a product is non-taxable, assign your "Tax Exempt" or "No Tax" rate explicitly — do not leave it blank.
    • Unit price (optional) — if set, it pre-fills in the Field Tech App and the technician can override it on-site.

    Mark the item as Sold

    Ensure the I sell this item checkbox is ticked. Items without this flag will not appear in the Field Tech App.

    Save and repeat

    Save the item. Repeat for every product your technicians might sell in the field. The Field Tech App refreshes its product list automatically every 5 minutes, so changes appear quickly.

Setting up products in QuickBooks Online

    Open Products and Services

    In QBO, go to Sales → Products and Services and click New, or edit an existing item.

    Choose the right type

    Select Service for labour or recurring services, or Non-inventory for parts and materials. Both types work with the Field Tech App.

    Set the Income Account

    Under Income account, pick the account this product posts to (e.g. "Services Revenue" or "Parts Sales"). This is mandatory — QBO requires an income account on every item.
  4. 4

    Set the Tax code

    Under Sales tax, assign the applicable tax code (e.g. "TAX" for taxable, "NON" or "Exempt" for non-taxable). Never leave it blank — if a product has no tax code QBO may default it to a code that doesn't match your return.

    Save and repeat

    Save the item and repeat for each product. Changes sync to the Field Tech App within 5 minutes.

Enabling Field Tech in Win!

    Open Settings → Field Tech

    From your Win! dashboard, go to Settings and find the Field Tech section.

    Choose your accounting platform

    Select whether field invoices should sync to Xero, QuickBooks Online, or let Win! decide automatically (it will use whichever platform is connected). This setting locks which platform each invoice is pushed to at creation time.

    Set a default tax rate (optional)

    You can set a default tax rate for field invoices. If a product already has a tax rate configured in Xero or QBO, that takes priority — this setting only applies as a fallback.

    Create technician accounts

    Still in Settings, add each technician's name and mobile number. Win! generates a unique login link for each technician. Send them the link — they tap it on their phone and are logged in. No password required.

    Share the Field Tech App URL

    Give each technician the Field Tech App URL (shown in Settings). They can add it to their home screen for an app-like experience. The app works on any modern smartphone browser — iOS and Android.

How a technician creates an invoice

    Tap New Invoice

    The technician opens the Field Tech App and taps New Invoice.
  2. 2

    Select or create the client

    Search for an existing client by name or phone number, or tap New client to add them on the spot (name, email, phone). Win! creates the corresponding contact in Xero / QBO automatically.

    Add line items

    Tap Add item to pick from your product catalogue. Each item shows its name, description, and configured unit price. The technician can adjust the quantity and override the price per item if needed. They can also add free-text line items for anything not in the catalogue.

    Review the total

    The app shows the subtotal, applicable tax, and grand total in real time. If you have locked tax rates, the technician cannot modify them.

    Create the invoice

    Tap Create invoice. Win! immediately:
    • Pushes the invoice to Xero or QBO as an Authorised invoice
    • Creates the client as a Contact in your accounting platform if they don't exist
    • Generates a hosted payment link and emails it to the client
    • Returns an invoice confirmation with the Win! pay link to share via SMS or messaging

    Client pays

    The client opens the payment link, reviews the invoice, and pays by card or bank transfer. The payment is written back to Xero / QBO within seconds and the invoice is marked paid — no manual reconciliation needed.

Syncing field invoices manually

Field invoices sync to Xero or QBO automatically when created. If a sync attempt fails (for example, due to a connectivity issue or a product missing its Sales account), the invoice is saved in Win! and retried on the next hourly sync cycle. You can also force a retry immediately.

    Open Connections

    Go to Connections in your Win! dashboard.

    Click "Sync Field Invs"

    On your Xero or QBO card, click the Sync Field Invs button. Win! will attempt to push any unsynced field invoices immediately and report how many were pushed and any errors.

    Fix any errors

    If an invoice fails, the most likely cause is a product without a Sales account or Tax rate in your accounting platform. Fix the product in Xero or QBO (steps above), then click Sync Field Invs again.

Products are the key. The Field Tech App reads your product catalogue directly from Xero or QBO. Every item must have a Sales account and Tax rate set — these travel with the invoice into your books and determine exactly which revenue account and tax return line each sale posts to. Set them up once and the Field Tech App handles the rest automatically.

Frequently asked questions

What is Win!, exactly?+

Win! is a revenue automation platform for B2B field service companies — commercial HVAC, refrigeration, electrical, plumbing, facility maintenance, AV, fire & security, and any other B2B business that invoices through Xero or QuickBooks Online. We automate the entire collection cycle: hosted payment links, autopay, automated reminders, credit card surcharging, and instant reconciliation back into your books. Payments are one feature, not the whole product.

How is this different from just emailing an invoice from Xero or QBO?+

Xero and QBO create the invoice. Win! collects the money. Your accounting software can send an invoice email — but it can't add a hosted checkout page, charge a saved card automatically on autopay, send follow-up reminders until the invoice is paid, enforce credit card surcharge compliance state-by-state, or mark the invoice paid the moment the payment clears. Win! adds all of that, in a fully branded experience, without you doing anything manually.

Do I need both Xero and QuickBooks?+

No — connect whichever one you already use. Win! works with either Xero or QuickBooks Online (or both, if you keep separate books in different countries).

Do I need my own Stripe account?+

Yes. Win! uses Stripe Connect direct charges, which means payments go straight into your Stripe balance. We never hold funds. If you don't have a Stripe account yet, you can create one free during the setup flow.

How long does setup take?+

About 10 minutes total: roughly 3 minutes to connect Xero or QuickBooks Online, 5 minutes to onboard or link your Stripe account, and 2 minutes to send your first payment link. Most users collect their first payment on the same day they sign up.

Is Stripe cheaper than QuickBooks Payments?+

Yes — and the difference is most significant on ACH bank transfers, which is how most service businesses collect large invoices:

On any ACH payment over $500, Win! customers pay $5 — half the $10 cap charged by QBO Payments. If you're currently collecting via QuickBooks Payments, switching to Win! can easily pay for the monthly subscription cost in processing savings alone.

Is there a free trial?+

Yes — 30 days, full access to every feature, no credit card required. You can connect your accounting platform and Stripe, send live payment links, and collect real payments during the trial. When the trial ends you choose a plan from the Billing page; if you don't, collection links are paused until you do.

What does it cost?+

Win! starts with a 30-day free trial — no credit card required. After that, two tiers:

  • Starter — up to 100 invoices/month · $85/mo, or $75/mo paying annually (save 12%), or $65/mo paying 2 years upfront (save 24%).
  • Unlimited — no invoice cap · $185/mo, or $165/mo annually (save 11%), or $145/mo paying 2 years upfront (save 22%).

Both plans include full branding — your logo and primary color on every payment page, email, and receipt. Choose a plan from the Billing page after your trial. Stripe processing fees are billed separately by Stripe.

What's the difference between Starter and Unlimited?+

Invoice volume only. Starter covers up to 100 invoices per month — enough for most field service teams. Unlimited removes that cap. Every other feature — branding, autopay, reminders, reconciliation, surcharging, Client Intelligence, and the customer portal — is identical in both plans.

Can I add my logo and brand colors?+

Yes — branding is included in both plans. Go to Settings → Branding to upload your logo and set a primary color. They appear everywhere your customers see Win!: the hosted payment page, the autopay enrollment email, every automated reminder, and each payment receipt.

What is Client Intelligence?+

Client Intelligence is Win!'s payment behaviour analytics dashboard. For each client it shows average days to pay, on-time rate, autopay adoption, total collected, and outstanding balance — all filterable by 30, 90, 365 days, or all time. Use it to identify slow payers, measure the impact of autopay enrollment, and prioritise who to follow up with.

What payment methods can my customers use?+

Cards (Visa, Mastercard, Amex, Discover) everywhere, plus local methods enabled in your Stripe account — ACH direct debit in the US, BACS in the UK, BECS in Australia, SEPA in the EU, and more.

Can I pass the credit card processing fee to my customers?+

Yes — if your state allows it. Go to Settings → Business Profile, select your business state, and check the attestation box. Win! instantly checks whether your state permits credit card surcharging:

  • State allows surcharging: The card fee toggle unlocks. Enable it and Win! adds the fee to the checkout total, shows the required disclosure to your customer, and auto-refunds the surcharge on any debit card transaction.
  • State restricts surcharging: The toggle stays locked. You cannot accidentally collect a surcharge — Win! enforces the restriction at the account level and on every customer checkout page.
How does Win! keep me compliant with surcharge laws automatically?+

Win! has a built-in compliance engine that tracks US state rules for credit card surcharging and ACH convenience fees. Here's how it works:

  • Business Profile attestation — you confirm your business state once (Settings → Business Profile). This is a one-time 30-second step.
  • Real-time rule enforcement — Win! checks your state against the current restricted-state list and enables or disables fee toggles accordingly.
  • Payment-link gate — if your Business Profile isn't complete, Win! blocks your customer payment page entirely until you finish setup. No partial or misconfigured checkouts.
  • Automatic updates — if a state's law changes, Win! updates enforcement platform-wide. You don't need to monitor state legislation yourself.
  • Debit card auto-refund — surcharges on debit cards are detected and refunded automatically, as required by Visa and Mastercard network rules.
  • International blocking — EU and UK customers are never surcharged, regardless of your settings, in compliance with those regions' laws.
Does the compliance system also cover ACH convenience fees?+

Yes. Some US states restrict ACH convenience fees as well as card surcharges. Win!'s compliance engine enforces both from the same Business Profile attestation. If your state restricts ACH fees, the ACH fee toggle in Settings is automatically disabled — one setup step covers both fee types.

Which states restrict credit card surcharging?+

A small number of US states currently prohibit or materially restrict credit card surcharging. Win!'s compliance engine maintains that list and enforces it automatically based on the state you confirm in your Business Profile — you don't need to look it up or monitor state legislation yourself. If your state restricts surcharging, the card fee toggle in Settings will be locked and your customers will never be charged a surcharge, regardless of your other settings.

What is the Business Profile / Business State attestation?+

It's a one-time compliance step in Settings → Business Profile where you confirm the US state your business operates in. This is what Win! uses to determine which surcharge and ACH fee rules apply to your account. It takes about 30 seconds, and you only ever need to do it once (unless your business moves to a different state). Until you complete it, fee toggles remain locked and customer payment links show a "setup not complete" message rather than a live checkout.

How does autopay work?+

Your customer clicks an enrollment link and saves a card or bank account once. Every time you issue them a new invoice in Xero or QBO, Win! automatically charges the saved payment method and marks the invoice paid. They can cancel anytime from a self-service portal.

Can I send a client all their unpaid invoices in one email?+

Yes. Open the client from the Clients page and click Send Unpaid Invoices. Win! sends a single email listing every outstanding (due or overdue) invoice with a direct Pay link for each one, plus a Pay Invoices button at the bottom. Every link points to the autopay-enabled checkout so the client can save a payment method at the same time if they choose.

Will my invoices in Xero / QBO be marked as paid automatically?+

Yes. When a Stripe charge succeeds, Win! writes a payment back to the matching invoice in your accounting platform within seconds. No manual reconciliation, no exported CSVs. Invoice and contact data syncs from Xero and QBO once per hour so your dashboard stays current.

What countries and currencies are supported?+

Anywhere Stripe operates (40+ countries). Pricing tiers are localised for the US, Canada, UK, Australia and the Eurozone, with PPP-adjusted rates for other regions. You charge in your customer's native currency.

Is my data secure?+

Card data never touches our servers — Stripe handles it directly in their PCI-DSS Level 1 environment. We store accounting metadata (invoice numbers, customer emails, balances), encrypted at rest, and you can revoke access from Connections at any time. See our Privacy Policy for full details.

Can I disconnect Xero, QBO or Stripe?+

Yes — open Connections and click Disconnect on any provider. We immediately invalidate the access token and stop syncing.

Does Win! replace my accounting software?+

No — and that's the point. We sit alongside Xero or QBO and Stripe, not in front of them. Your books, your bank, your customer relationship — we just make collecting payment effortless.

What is the Field Tech App?+

The Field Tech App is a mobile-optimised web app your technicians use on-site to create invoices and send payment links — without needing access to your Win! dashboard. Invoices are pushed directly into Xero or QuickBooks Online the moment the technician taps Create, and a hosted payment link is emailed to the client automatically.

Do my technicians need to be in the office to create an invoice?+

No — that's the point. A technician can create a professional invoice, push it to Xero or QBO, and send the client a payment link all from their phone while still standing at the job site. No paper invoices, no re-keying back at the office, no waiting until Monday to bill. The Field Tech App runs in any smartphone browser — no app to install.

Why do my field invoices need a Sales account and Tax rate on every product?+

Xero and QuickBooks Online require every invoice line item to specify an income (Sales) account and a tax code before they will accept it. Unlike invoices you create manually in your accounting software — where the UI will prompt you to fill in missing fields — Win! pushes invoices via the API, which enforces the same rules without a human in the loop.

If a product is missing its Sales account or Tax rate, Xero / QBO will silently reject that invoice. Win! captures the error and queues the invoice for retry, but it will keep failing until the product is fixed in your accounting software. Go to Business → Products and services in Xero, or Sales → Products and Services in QBO, and make sure every item has both fields populated.

What happens if the accounting platform is unreachable when a field invoice is created?+

The invoice is saved in Win! and the client still receives their payment link. Win! retries the push to Xero / QBO automatically on the next hourly sync. You can also force an immediate retry from the Connections page by clicking Sync Field Invs on your accounting platform card.

Can technicians see each other's invoices in the Field Tech App?+

No. Each technician only sees invoices they personally created. Your Win! dashboard shows all field invoices across the whole team.

Do technicians need a Xero or QBO login?+

No. Technicians log in to the Field Tech App using a one-tap link you generate in Win! Settings — no Xero, QBO, or Stripe credentials are ever shared with them. They see only the client list and product catalogue relevant to their work.

Can I use the Field Tech App without Xero or QBO?+

Partially. If no accounting platform is connected, field invoices are saved in Win! and payment links are still sent to clients. However, without Xero or QBO connected there is no product catalogue to pick from — technicians would need to enter free-text line items manually, and invoices will not sync to any accounting ledger until you connect an accounting platform and trigger a manual sync.

How quickly do product catalogue changes appear in the Field Tech App?+

The Field Tech App caches your product catalogue for 5 minutes. After you add, edit, or remove a product in Xero or QBO, it will appear (or disappear) in the app within 5 minutes without any action needed from your technicians.
